Optician

Working under the supervision of the Optical Manager, the Optician is primarily responsible for helping patients through the ordering of prescription eyewear. This entails measuring, fitting, and ordering lenses and frames for patients according to written optical prescription and/or specification of the doctor. The Optician is also responsible for the final inspection and verification of incoming ophthalmic jobs from lab vendors. The other duties of the Optician include maintaining accurate optical records, administrative work and providing quality patient care in a fast-paced setting.

Representative Duties:

Assist with optical needs and orders

  • Measure patient for pupillary distance, fitting heights and position of wear measurements, either manually or with digital fitting device
  • Assist patients with selecting frames appropriate for facial and eye measurements and prescription
  • Fit and adjust eyeglasses for best comfort and visual acuity 
  • Prepare work orders and instructions for grinding lenses and fabricating eyeglasses
  • Recommend specific lenses, lens coatings, and other options to suit patient needs
  • Sell goods such as spectacles, sunglasses, and other goods related to eyes in general
  • Educate patients on how to wear and care for eyeglasses
  • Verify that incoming completed spectacles meet quality control and ANSI standards
  • Help answer questions from other staff (apprentices, sales associates) and patients that arise during the optical ordering process

Maintain accurate optical records

  • Enter and maintain electronic records of customer prescriptions, work orders, and payments
  • Process end of day collection reports and ensure accuracy compared to final count
  • Perform administrative duties such as verifying vision hardware benefits, submitting patient insurance orders, and requesting prior authorizations
  • Assist Optical Manager with scheduling vendor visits, frame selection and return process

Provide Customer and Personal Services

  • Perform customer needs assessment, 
  • Meet quality standards for services, and 
  • Evaluate customer satisfaction

Meets agency participatory expectation

  • Adheres to all agency and departmental policies and procedures
  • Participates in quality assessment and improvement activities as requested
  • Adheres to the highest principles of patient and client confidentiality
  • Adheres to established safety policies, procedures and precautions; identifies potential or actual unsafe situations in the environment and takes measures to rectify the situation
  • Attends all required meetings, in-services and professional trainings
  • Maintains professional competence necessary to perform job responsibilities; maintains and provides agency with records of continuing education activities
  • Serves on agency committees and in professional organizations when requested

Requirements

  • Current unrestricted license to practice as dispensing optician in the State of Massachusetts.
  • Ability to perform requested privileges.
  • Knowledge of principles and processes for providing customer and personal services. This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction.
  • Knowledge of principles and methods for showing, promoting, and selling products or services including: marketing strategy and tactics, product demonstration, sales techniques, and sales control systems.
  • Ability to work harmoniously and effectively with colleagues, patients, clients and vendors across the spectrum of diversity, including but not limited to race, ethnicity, color, gender identity, sexual orientation, age, socio-economic status, national origin and immigrant status, religious or spiritual identity, disability (physical, mental, emotional and developmental), veteran status, and/or limited English proficiency.

Major Tasks, Responsibilities, and Key Accountabilities

  • Verifies order data entry, compares Rx to original Rx provided from the doctor assuring all information entered in the system is accurate. Completes proper order filing procedures, including filing the order under the correct ABC system in the store.
  • Delivers sales by providing excellent Member service in person and over the phone. Must be able to explain in detail all procedures included under the exam fee; being open and honest in communication and maintaining a friendly pleasant demeanor with customers at all time.
  • Takes measurements, assures correct frame selection for Rx power, reads prescriptions on the lensometer, timely notification of product readiness and advancement of the order in the system: including received, notified and dispense of each job and proper handling of all money related transactions.
  • Adheres to all privacy and confidential/proprietary company policies and procedures (i.e. Health Information Portability and Accountability Act, known as HIPAA) as required by law. Provides support to Members in making eyeglass adjustments and repairs.
  • Assists Optical Manager with the opening and closing procedures at the beginning and end of shift. Ensures that accurate funds are collected, and payments are made at the point of service.
  • Maintains all club policies and procedures.
  • Performs other duties as assigned, including working in other departments as needed.
  • Regular, predictable, full attendance is an essential function of this job.

 

Qualifications

  • Knowledge of optical products and business practices preferred.
  • High school diploma, college degree, and/or big box wholesale, retail, optical, and/or management experience is preferred.
  • Strong interpersonal skills, organizational skills and an attention to detail required.
  • Open shift availability required.
  • At least 18 years of age.
  • Must be licensed to work as an optician within the State and keep license up to date and active

Under the general supervision of the Optometrist, the Optician provides assistance to the patients and providers to manage the flow of the clinic.

Responsibilities include:

  • Assist patients in the selection of eyeglass frames.
  • Choose appropriate lens materials for eyeglass prescriptions.
  • Accurately measure interpupillary distances
  • Accurately measure segment heights for multifocal lenses
  • Recommend and/or choose, when deemed appropriate, lens add-ons such as non-glare lenses or photochromics
  • Assist the optometrist when needed in preparing the patient for the eye exam including: autorefraction, lensometry, clinical history gathering, and data entry into an electronic medical record (EMR)
  • Ability to adjust eyeglasses and perform minor repairs such as replacing nose-pads
  • Bill for services including: lens materials, repairs, and dispensing of eyeglasses using the EMR
  • Ability to explain, administer, and bill for visual field testing as required
  • Near visual acuity to select glasses, fit glasses, measure for eyeglasses, and use a computer
  • Understanding that patient care is a team effort that involves clinical and non-clinical staff interacting with patients.

Minimum Qualifications:

  • High School Diploma or GED required.
  • Active Optician License
  • NCLE Certified preferred
  • Previous experience preferred
  • Bilingual in Spanish preferred
  • Computer skills for accurate data entry
